Tottenham Hotspur Foundation – Charity Event Terms and Conditions
By registering for and taking part in this event (the “Event”), you agree to the following terms and conditions. Please read them carefully before completing your registration.
- Registration
a. It is your responsibility to read and comply with all terms and conditions issued by Tottenham Hotspur Foundation (the “Foundation”) and any third-party event organisers.
b. You must complete all registration requirements communicated to you by the Foundation and/or the third-party organiser by the deadline they specify and provide full, accurate and up-to-date information.
c. You must notify the Foundation by email to foundationsupporter@tottenhamhotspur.com as soon as possible if you are unable to participate for any reason, including injury or unforeseen circumstances.
d. The Foundation reserves the right to refuse or cancel your place if:
i. you fail to complete the registration process;
ii. you do not meet the agreed fundraising milestones, and no alternative arrangements have been agreed; or
iii. participation would go against medical or health advice or would otherwise present a material risk to you or others.
2. Age Requirement
Unless otherwise stated for a particular Event, participants must be aged 18 or over on the date of the Event.
For participant’s under the age of 18, the participant’s parent/guardian agrees that, as far as they are aware, the participant is physically able to compete in the Event and, to the extent that it may be necessary; they have sought and relied upon any medical advice before the date of the Event. Should any medical or physical condition arise prior to the Event which is likely to affect the participant’s ability to compete in the Event, the participant should withdraw from the Event. The participant’s parent/guardian consents to any medical treatment being administered to the participant during the Event by official medically-qualified personnel.
The Foundation may require proof of age and reserves the right to refuse participation where adequate evidence is not provided.
3. Registration Fees
a. Unless the Event is cancelled pursuant to section 6, registration fees payable by you are non-refundable.
b. The Foundation may, at its sole discretion, allow a transfer of your place to another eligible participant or to a postponed date.
c. Any administrative charges incurred in processing a transfer may be passed on to you.
4. Fundraising Commitment & Handling of Donations
a. Donations can be made via an approved fundraising platform or by contacting the Foundation for alternative methods.
b. All monies raised in connection with the Event are held on trust for the Foundation, and must not be used to pay your expenses.
c. Participants pledge to raise the minimum sponsorship target agreed between the parties at registration. The Foundation will provide reasonable support to help you reach this target.
d. All sponsorship donations raised must be remitted to the Foundation as soon as reasonably practicable and in any event no later than six (6) weeks after the date of the Event (subject to the payment cycles of any fundraising platform used). If a fundraising shortfall remains after this period, the Foundation may contact you to discuss next steps.
e. Should fundraising milestones not be met prior to the Event, the Foundation reserves the right to withdraw your place.
f. You must comply with applicable fundraising laws and you agree not to conduct any public collections, raffles or lotteries without the appropriate permissions and/or licences and the Foundation’s prior written approval.
g. You agree to make clear to donors that their donations are non-refundable, even if you do not take part in the Event, unless otherwise required by law.
5. Participation and Risk
a. You take part in the Event at your own risk and are responsible for ensuring you are physically prepared and medically fit to participate.
b. If you have any concerns about your health or fitness, you should consult your doctor before registering.
c. You agree to comply with all Event rules, route instructions and directions from officials and marshals.
d. You will ensure your equipment is safe and suitable for the Event.
e. You will refrain from any behaviour that could risk your safety or the safety of others.
f. The Foundation is not liable for any injury, illness, loss, or damage suffered in connection with the Event, except to the extent caused by the Foundation’s negligence.
6. Cancellation
a. The Foundation, or any third party organiser, may cancel, postpone, or modify the Event if it reasonably considers this necessary for safety, operational or legal reasons, or due to circumstances beyond its reasonable control, (including severe weather, safety concerns, public authority restrictions, transport strikes, epidemics or failure of suppliers).
b. Registration fees are non-refundable unless the Event is cancelled by the Foundation due to circumstances beyond its reasonable control, in which case you will receive a refund of the registration fee only. Any funds already raised will be treated as donations to the Foundation.
c. If the Event is postponed, your place will automatically be transferred to the new date, but you may request a refund of the registration fee within 14 days of being notified of the new date if you are unable to attend.
d. Where the Event is provided wholly by a third-party organiser, refund decisions may be subject to that organiser’s separate terms and processes.
e. The Foundation will not be liable for any additional costs you may incur as a result of cancellation or postponement (including but not limited to travel or accommodation costs).
7. Photography and Media Use
a. Any use of the Foundation’s or Tottenham Hotspur Football Club’s name, logo or brand on fundraising materials requires prior written approval and must follow brand guidelines.
b. By taking part, you consent to photographs, video and audio recordings of you being captured and used by the Foundation for promotional, marketing and other charitable purposes, including on websites, social media, printed materials and other media.
c. If you do not wish to appear in such materials, you must notify the Foundation by email to foundationsupporter@tottenhamhotspur.com at the earliest opportunity prior to the Event.
d. Any media captured by participants and shared with the Foundation may be used without payment or ownership royalties.
e. Images and content may also be shared with third-party media partners for publicity purposes.
8. Privacy and Data Protection
a. The Foundation will process your personal data in accordance with its Privacy Policy which shall be provided to you separately alongside these terms and conditions, and in compliance with UK data protection legislation.
b. The Foundation may share relevant data with Event contractors, medical providers, insurers, Tottenham Hotspur group entities and third-party Event organisers as necessary for the Event.
c. The Foundation will not sell your details to any third parties.
9. Code of Conduct
a. Participants must act respectfully at all times and conduct themselves in a way that reflects positively on the Foundation and the Event.
b. Any behaviour that could bring the Foundation, Tottenham Hotspur Football Club, individuals associated with the Foundation or Tottenham Hotspur Football Club or the Event into disrepute may result in removal from participation.
10. Third-Party Organisers and Suppliers
a. Where the Event involves third-party organisers or suppliers, your participation is also subject to the relevant third party’s terms, rules and instructions, such terms prevailing over these on operational matters. You are responsible for familiarising yourself with any separate terms issued by third-party organisers.
b. Except where required by law, the Foundation is not responsible for any loss, damage or injury caused by acts or omissions of third-party organisers or suppliers.
11. General
a. These terms and any non‑contractual obligations arising out of them are governed by the laws of England and Wales. The courts of England and Wales will have exclusive jurisdiction, although nothing prevents you from raising a complaint with the Fundraising Regulator where applicable.
b. If you have disability or support needs, please tell the Foundation as early as possible so reasonable adjustments can be considered. Some events, routes or venues may have inherent constraints, but the Foundation will take reasonable steps to enable safe participation.
c. For Event queries, fundraising support, data requests or complaints, please contact the Foundation using the contact details provided during registration or on the Foundation’s website. The Foundation will acknowledge and handle complaints in line with its complaints process.
d. If any part of these terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
